There are very many methods of communication used in companies. Some of them include the use of messengers, emailing, word of mouth and most important of them all, use of telephone systems. Phones have been used in offices for a very long time. This is because of their efficiency and reliability among many other factors. That is why we are going to focus on them in this article.
Telephone systems are a network of several phones that serve a specific area like an office. They are meant to provide the basic phone services together with more important features. Office complexes and companies are the most ideal places for their installation. This is because a lot of coordination is required to operate such places.
These systems have several features. They include: Voicemail, auto attendants, dial-by-name directory and ring groups among many others. These features are very important in ensuring effective communication. Some of them are designed to use Voice over Internet Protocol (VoIP). This type of system is expensive to buy but ends up being much cheaper over time, since using VoIP is cheaper than using local service providers.
They come in different sizes. This is so as to ensure that the needs of all companies, ranging from the small ones to the big ones, are catered for. Big companies require larger and more sophisticated communication channels while small companies can operate effectively with a basic system. There are three basic types of phone systems.
The first one is known as private branch exchange (PBX). This type of system is ideal for medium and large companies. They are available in many sizes and are currently the most advanced type in the market. Most of them are designed to allow expansion in case the need arises.
The KSU is much cheaper when compared to the PBX and is therefore ideal for medium sized companies. It does not have all the additional features but is economical.
Finally we have the KSU-Less system. It serves small companies and can only hold up to ten phones. It does not have a central base unit, so each individual phone must have all the functionalities. It is mostly used to provide basic phone services to the company.
Therefore as we have seen, installing telephone systems in a company is very important. It improves communication between different departments, employees of different levels and the management and the employees. This in turn leads to improvement of productivity levels and profit that the company makes.
